Every business owner and freelancer knows the end-of-month scramble: a wallet full of crumpled receipts, bank messages to match up, an expense Excel sheet that hasn't been updated in weeks, and a vague feeling that you spent more on fuel than you thought. Expenses are easy to record at the moment you pay and very hard to reconstruct later.
The fix is an expense tracker on your phone: a simple spreadsheet where you log each expense right when it happens, with a photo of the receipt. Here is a setup that takes seconds per entry and gives you clean totals whenever you need them.
Why track expenses at all?
- Tax and accounting. Business expenses you can prove are expenses you can claim.
- Billing clients. Freelancers and contractors who pass costs on to clients need a record of each one.
- Seeing where money goes. You can't cut a cost you don't know about.
- Staff spending. If employees spend on behalf of the business, you need their receipts in one place.
The expense tracker table
In Table Notes, create a table called Expenses with these columns:
- Date (Date)
- Amount (Amount)
- Category (Select: Fuel, Travel, Food, Office supplies, Rent, Utilities, Software, Other)
- Paid to (Notes), the shop or vendor
- Payment method (Select: Cash, UPI, Card, Bank transfer)
- Receipt (Photo)
- Client or project (Select), if you bill expenses on
- Reimbursed (Checkbox), if staff spend on your behalf
That is all most people need. Resist the urge to add more until you miss something.
Logging an expense in under 15 seconds
The habit only sticks if adding an entry is quick. With the columns above, adding an expense is: pick the date, type the amount, tap the category, tap the payment method, snap the receipt, save. The receipt photo is the most important part. It is your proof, and it means you never have to keep the paper.
If you are somewhere with no signal, such as on the road or at a site, the mobile app works offline and syncs the entry when you reconnect.
Seeing your totals
Because Amount is a number column, Table Notes can total it for you. Combine that with filters and you can answer the questions that matter:
- How much did I spend this month? Filter by date range and look at the total.
- How much went on fuel? Filter by Category.
- What can I bill to this client? Filter by Client or project.
- Who still needs to be reimbursed? Filter where Reimbursed is unchecked.
Save the filters you use every month so they are one tap away. A graph of the table can also show how spending changes over time.
Getting it to your accountant
At the end of the month or year, filter to the period you need and export:
- Excel sheet for your accountant, who will want to sort, check and import the numbers into Microsoft Excel, Google Sheets or accounting software.
- PDF for a client you are billing, with your business header, logo and footer on it. See how to turn a table into a PDF report on your phone.
Expenses for a team
If staff spend money on behalf of the business (drivers buying fuel, site supervisors buying materials, sales staff on travel), share the Expenses table with them as collaborators. Each person adds their own expenses with a receipt photo, and you see everything in one place, on your phone or on a PC at tablenotes.net. Add a Select column for the staff member's name so you can filter by person.
Give staff editor access so they can add entries, and keep administrator access for yourself so only you can change the columns and categories.
Habits that keep it accurate
- Log it before you put your wallet away. The moment of payment is the only time it is effortless.
- Always attach the receipt. An expense without a receipt is hard to claim.
- Keep categories fixed. Add a new one only when "Other" starts to fill up with the same thing.
- Review once a week. Five minutes on Sunday catches missing entries while you still remember them.
The takeaway
Expense tracking fails when it is done later and works when it is done immediately. A short expense tracker table with a Date, an Amount, a Category and a receipt Photo, filled in on your phone at the moment you pay, gives you accurate totals all year and a clean Excel sheet for your accountant without the end-of-month scramble.
